You control your budget, choosing vendors, picking out decorations and all the fun stuff. We will help you put everything you have planned into a timeline/ game-plan that fits your needs. Then, we will be there the day of your wedding to execute your event!
Do I absolutely need a wedding coordinator?
Just like a venue, photographer, and caterer are absolutely needed, so are wedding coordinators. We are the ones behind the scenes, making sure everything is going according to plan, answering questions, double checking that everything is in place, and putting out all the little fires. Truth is, everything a wedding coordinator does will be needed to be done at your wedding. And if you don’t hire a coordinator, everyone will be coming to you on your wedding day for answers (and if not you- your parents, siblings, maid-of-honor…). And who wants to be behind the scenes, running the show AND celebrating on your special day?
So you don’t just show up on the day of my wedding?
We definitely don’t just show up! Once you hire us, please reach out to Mariah or Lauren anytime for advice and recommendations on vendors and planning questions. We got your back!
But is it worth the investment?
This is a once in a lifetime moment, that you are spending thousands of dollars on. Do you really want to chance your plans and vision not going the way you expect? Your wedding day is worth the investment. You are worth the investment. Not only will we be your guide throughout the process, we will also be your advocate and your right hand man. When you invest in a coordinator, you invest in your peace of mind.
What all do you do?
As your wedding coordinator, we will be your POC (point of contact) for your event.
We will direct and oversee your wedding.
We will plan with vendors as the main communication and designate wedding vendor responsibilities.
We will oversee the set-up and tear-down of your wedding.
We will set-up and tear-down your personal decorations and items for your wedding.
We will provide and finalize details for your wedding timeline and confirm between vendors for you.
We will supply a Trello board for your wedding – that will help keep you organized during the planning process.
What all counts as “personal decorations?”
We handle the setup of personal decorations brought by our clients. This includes anything that you personally bring to the venue on the day of the wedding. But we do NOT assemble your decorations or handle other vendors jobs. Let me give you some examples:
You purchase centerpieces off amazon, get them ready to be set out and in boxes, and bring them with you to the venue – we set up.
You purchase chargers from Walmart and bring them with you to the venue – we set up (but make sure to wash them!).
You bring donuts with to the venue to serve as your desserts for the night – we set up. We are “professional ploppers” when it comes to food (S/O to a 2024 bride for coming up with that phrase). We do not assemble onto stands but can grab and “plop them down.”
You purchase your bouquets off Sola and bring them unassembled to the venue- we DO NOT assemble decorations.
Your caterer drops off food at the venue for the day – we DO NOT set up.
The rental company drops off plates, silverware, glassware, and furniture – we DO NOT set up.
The cake was dropped off – we DO NOT set up.
Your card box and your table numbers and all the cute personalized items you bought off Etsy for your wedding – we set up.
You want to make your own place cards for dinner and have them ready and organized by table – we set up (AS LONG AS it is prepared in advance, we do not cut out / assemble items).
What are the services you don’t provide?
We do not provide full set-up of the entire event.
We do not assemble and prepare decoration items.
We do not handle other vendors jobs.
We do not handle food or alcohol beyond “plopping” items on tables.
We do not set up tables and chairs.
We do not offer full planning services.
Which of my vendors will do these other services?
The Colorado wedding industry is thriving with professionals; but make sure you are finding those professionals.Typically you will see these vendors handle these specific key parts of your wedding day:
Venue: the set up of tables and chairs, bathrooms, signage and parking.
Caterer: the set up of tables and chairs, food displays, beverage stations, spills and messes, cake-cutting service, the set up and tear down of rental items, and cleaning up tables and chairs at the end of the night.
Florist: set up of decorations, flower arangements, and tear down of decorations at the end of the night.
Bakery: set up of the cake table, decoration of your wedding cake, and possible cake-cutting service.
How does the process work?
Once you hire us: Reach out anytime for advice and recommendations on vendors and planning. Make sure to: 1. check your email for your personalized Trello board 2. be on the lookout for an email 3 months out from your wedding day where we will schedule our trello & timeline meeting.
3 months before your wedding: we’ll schedule a phone meeting to guide you through your Trello board and review your details and help with timeline progress. The only work that will be done will be on your Trello board created by us. We will not begin contacting vendors and/or creating any forms until 30 days out from your wedding day.
7 weeks out from your wedding day: be on the lookout for an email from us where we will schedule our first in timeframe meeting.
30 days before your wedding (the beginning of booked timeframe): We will start working on your timeline, contacting vendors, helping with all planning still in process and guiding you through the “to do” list for your wedding. This period of time can include anywhere from 3-5 video chat meetings depending on where we are in the planning process.
The week before your weddding: We will have our final video chat (your lead coordinator will be present) before we send out your timeline, vendor list, and floor plan(s) to everyone involved. Then, all planning will be complete and you are free to enjoy your wedding week!
The day before your wedding: We will coordinate your rehearsal run-through along with your officiant. All you have to do is show up!
On your wedding day, we will: -arrive at the venue when scheduled. -check in and direct all vendors throughout the day. -make sure logistics of the tables/chair counts are correct. -make sure your floor plan is set up just how you want it. -set up and tear down personal decoration items. -manage the timing and flow of events. -handle any and all hiccups that come up (quietly, of course). -confirm your venue space is clean and ready to go. -pin the boutineers on men. -confirm the best man has the rings. -line up your wedding party for the ceremony. -cue music and everyone down the aisle. -help wrangle guests for portraits after the ceremony. -clean up your ceremony space and repurpose your decorations. -deliver hors d’ouervers and drinks to you while you are taking photos. -make sure your vendors eat dinner. -light your candles. -make sure you and your photographer see the reception space before its occupied. -make sure you sign your marriage license and bustle your dress. -line you up for the grand entrance. -grab dinner and cake leftovers. -dim the lights for dancing. -pack up all your personal decoration items. -oversee event breakdown, making sure we are sticking to the venue’s policy. -be your point of contact for any questions and concerns throughout the day. -do a final sweep of the night grabbing anything that was left behind. (your heels? got ’em!!).
What if I haven’t chosen my venue yet?
You will need to secure a venue before hiring a wedding coordinator. This is the only vendor you will need before signing with us. This is because your wedding date is a foundational element for booking all your vendors, and securing a venue is the first step to set that date in stone.
What are your prices?
Day of Wedding Coordinator: $2,500 Small Day of Wedding Coodinator: $1,900
What makes you stand out from the other Colorado wedding coordinators out there?
We send out “hey just checking in” emails one year out from your wedding day and about 6 months before your wedding, making sure you are feeling comfortable in your planning process. We won’t just disappear.
We build and provide a customizable Trello board, specifically for you and your big day. This will include everything you will need to stay organized for seamless planning.
We will advocate for YOU. This day is about you and your lover, not anyone else.
We do not cancel bookings. We have a 100% attendance rate for every wedding we have booked and do not plan on EVER breaking our perfect record.
We will be your paparazzi for the day taking photos and videos and will share this with you within a week from your wedding day!
We will supply a wedding day emergency kit on your wedding day that you and your friends and family are free to use (just in case, because… you never know!).
We will get to know you and your loved ones and will be raving and posting all about your wedding day for years to come! Let’s be friends?
Do you offer discounts or a lower price?
No, we sadly don’t. We understand the desire for savings, but we need to cover essential costs like business expenses, insurance, travel, and our team’s compensation. We believe in fairness across the board, in other words, our pricing reflects the value of the service we deliver. Rest assured, your investment in us ensures top-notch services for your special day.
